The Town of Colonie Parks and Recreation department has launched an online portal (WebTrac) that can be used to enroll in activities, reserve rental spaces, obtain pool passes, and much more.

Reasons to sign up for an Online Parks Portal account

An online Parks Portal account will be required to access all the activities and services that the Town of Colonie Parks and Recreation department has to offer. You can create an account online or one will be created for you when you visit us in-person at our main Parks office.

Household account / Residency requirements

When you create your account online, your account type will be defaulted to non-resident. Once you have provided proof of residency, your account will be switched to a resident account and you will be able to enjoy the discounted rates.

Acceptable Forms of Identification:
You must have a government issued photo ID (driver's license or non driver's ID, military ID) AND one of the following documents:

  • Utility bill (water bill, internet/cable bill, credit card statement, electric bill)
  • Income tax returns
  • Property tax bill
  • Original rent/lease agreement
What can I do with my Online parks portal account?

Your WebTrac account will allow you to do the following:

  • Register for summer activities such as the tennis, golf, and the swimming programs
  • Add household members to your account (spouse, kids, etc.)
    additional household members

    Each household should only have one account. The member who creates a household account is designated as the primary guardian and has the ability to add additional family members (secondary guardian, kids, etc.) to the household account. The "secondary guardian" would be another adult over the age of 18 that may be responsible for registering and paying for programs and classes. The "additional family member" option would be used for your child or other dependents.

    You will not be able to register additional family members for any program activities unless they have been added to your household.

  • Rent spaces and facilities
  • View membership information
  • Add money to a giftcard or key fob (physical or virtual - available on your smartphone) or view balance. Gift cards can only be purchased at the Parks office during normal business hours
  • Reprint receipts for any summer activities or rentals, or view previous charges
  • Use your smart phone as membership pass for gate or pool pass
  • Upload documents as proof of residency to get discouted rates
Key Fob

A physical key fob can be used in lieu of the virtual one for residents that do not have access to a smart phone. Virtual key fobs can be accessed from your WebTrac account under "My Memberships".

A key fob can be used for the following:

  • As a resident gate pass for parking access (you will be charged a non-resident gate fee if you do not have your key fob at the time of gate entry - only credit card payment is accepted at the gate)
  • As a pool pass
  • After adding credit to it, you can use your key fob to make purchases at the Colonie pool concession stands (the key fob can be reloaded with credits online, or in-person at the main office during office hours only)

Why is the date of birth required?

We require a birth date so that we can apply the correct fee and place participants in the appropriate program.

When adding additional family members in the relationship field, what is the difference between an additional family member and a secondary guardian?

How do I change my password?

1. Click on your name on the top right and then click on "My Profile" (under "My Account").

2. Click on the "Account Password" to expand.

3. Enter your existing password and then enter and confirm the new password.

How is residency determined?

An individual is considered a Town of Colonie resident if paying Town of Colonie taxes.

How do I locate a program on WebTrac?

1. Go to Town of Colonie Parks and Recreation Online Reservation Portal.

2. Click on the "Search" menu on the top bar (if you are browsing from a phone or tablet, you might need to click the hamburger icon on the top left first) and then "Activity Search".

3. Select desired location(s) from the "Location" drop-down (if you do not know the location, click on "Select All").

4. Click on "Search."

5. You will see courses in the search results field.

How do I make a rental payment on my account?

1. Go to Town of Colonie Parks and Recreation Online Reservation Portal.

2. Click on “Sign In/Register” and type in your username (email address) and password.

3. Click on “Make a Payment” and locate the item requiring payment.

4. Click on the box to the left of the item and click on “Add to Cart.”

5. You will be taken to the “Shopping Cart.”

6. Click on “Proceed to Checkout” to begin the payment process.

How do I make a class/camp/school programs payment on my account?

1. Go to Town of Colonie Parks and Recreation Online Reservation Portal.

2. Click on "Sign In/Register" and type in your username (email address) and password.

3. Click on "Check Out" (the class/camp/school program requiring payment is in cart).

4. Click on "Proceed to Checkout" to begin the payment process.

Can I make a partial payment?

To make a partial payment on your account, you must call the office at (518) 783-2760, or visit the main Parks office, during business hours.

What forms of Payments are accepted?

Acceptable forms of payment include: Visa, Mastercard, Discover, American Express, and/or gift card (in-person only).

Can I add credit to my account?

Steps to adding a credit on your account:

1. Go to Town of Colonie Parks and Recreation Online Reservation Portal.

2. Click on “Sign In/Register” and type in your username (email address) and password.

3. Click on “My Account” and locate “Add Credit” under “History and Balances.”

4. Enter the dollar amount that you would like to add.

5. Click green “Add to Cart” button.

6. Confirm amount and click green on “Proceed to Checkout” to begin the payment process.

How can I see my payment history?

Steps to adding a credit on your account:

1. Go to Town of Colonie Parks and Recreation Online Reservation Portal.

2. Click on “Sign In/Register” and type in your username (email address) and password.

3. Click on “My Account” and locate “My History” under “History and Balances.”

4. You will see all programs that have been registered for under your account, the amount paid and any amount due.

How can I change the credit card on file?

Steps to adding a credit on your account:

1. Go to Town of Colonie Parks and Recreation Online Reservation Portal.

2. Click on “Sign In/Register” and type in your username (email address) and password.

3. Click on “My Account” and locate “Auto Debit” under “Update.”

4. Click on the blue “Update Credit Card.”

5. Complete required fields and click the blue “Continue” button.

How do I cancel a class or program?

Steps to adding a credit on your account:

1. Go to Town of Colonie Parks and Recreation Online Reservation Portal.

2. Click on “Sign In/Register” and type in your username (email address) and password.

3. Click on “My Account” and locate “Cancellations” under “History and Balances.”

4. Locate the class from which you want to withdraw and select “Cancel.”

5. Select a reason from the “Cancellation Reason” drop menu and select “Continue.”

6. Proceed to checkout to complete the process.

7. A credit will be placed on your account. To have this money refunded, please contact us during business hours.

How do I cancel a rental space?
